This Privacy Policy explains, in detail, what information Tool Sphere collects when you use our tools and site, how we use it, who we share it with, and — most importantly — exactly what happens to the files you upload.
This is the most important part of this policy for most visitors, so we're putting it first. By default, files you upload to a Tool Sphere tool — PDFs, images, or videos — are processed on our server only for as long as it takes to complete your specific request, typically seconds to a couple of minutes depending on the tool. Once processing is complete and the result is returned to you, the original file and any intermediate files are automatically and permanently deleted from our server. This remains the default behavior for every tool and every visitor, whether or not you're signed in.
A small number of tools — currently Merge PDF and the AI Background Remover — offer an optional "Save to my account" toggle, visible only if you're signed in. This is off by default and only takes effect if you explicitly turn it on before processing. When enabled, the tool's output (for example, the merged PDF or the background-removed image — not necessarily the original file you uploaded) is retained on our server and linked to your account, so you can find it again later on the My Files page. Files saved this way stay on our server until you delete them yourself, or until your account is deleted. Each account has a storage limit based on its plan; you can see your usage on the My Files page.
We do not retain, back up, browse, manually review, analyze, or share the contents of files you process through our tools, whether processed under the default (delete-after-processing) behavior or saved to your account by your own choice. No employee or automated system inspects a file's content beyond what's strictly necessary to run the requested operation (for example, reading a PDF's page count to let you select a range to extract) or, for files you've chosen to save, to serve them back to you on request.
Several of our tools — including parts of our Image Compressor, Image Format Converter, and the Answer Review Tool — process your file entirely inside your browser using client-side JavaScript, meaning the file is never transmitted to our server or anyone else's at all. It stays on your device from start to finish. (The Answer Review Tool also offers a signed-in "resume across devices" feature for your progress in reviewing an answer key — this is a small amount of text data, not a file, and follows the same opt-in, user-deletable logic described above.)
A small number of tools depend on third-party processing infrastructure rather than our own servers. This is clearly disclosed on the relevant tool's own page (currently, our AI Image Upscaler). When a tool works this way, your file is sent to that third-party provider for processing, subject to their own data handling practices, which we do not control and which may differ from the retention practices described above. We recommend reviewing the notice on that specific tool page before use if this is a concern for you.
If you create a free Tool Sphere account, we collect the information you provide directly: your name, chosen username, email address, and a password — which we store as a securely salted, one-way cryptographic hash, never in plain text, meaning even we cannot see your actual password.
You can alternatively sign in using Telegram. In that case, we receive the basic profile information Telegram makes available through its login widget (typically your Telegram user ID, name, and username) rather than a separate password.
We use account information to authenticate your login, track and enforce your daily tool usage limits, manage any Premium subscription you hold, calculate referral credits if you've referred other users, and send account-related emails such as email verification, password reset links, and new-login security alerts. You can review and update most of this information directly from your account settings page.
Like virtually all websites, we automatically collect basic technical information when you visit: your IP address, approximate location derived from it, browser type and version, device type, operating system, pages and tools visited, and general usage patterns (such as which tool categories are used most).
We use this information to keep the site secure — for example, detecting and alerting you to logins from unrecognized IP addresses or devices — to diagnose and fix bugs, to prevent abuse of free-tier usage limits, and to understand which tools are genuinely useful so we can prioritize improving them.
We use cookies for essential site functionality: keeping you signed in between page visits, remembering your light/dark theme preference, and maintaining a secure session. We may also use cookies for basic, aggregated analytics. Full details, including how to manage or disable cookies, are available in our separate Cookies Policy.
If you purchase Tool Sphere Premium, all payment processing is handled directly by Razorpay, our third-party payment gateway. We never receive, transmit, or store your full card number, UPI ID, or bank account details — that sensitive information is handled entirely within Razorpay's own PCI-DSS-compliant systems. We only receive confirmation that a payment succeeded, along with a transaction reference, so we can activate your subscription.
We send transactional emails — account email verification, password reset links, new-login security alerts, and one-time verification codes — through a third-party SMTP email delivery provider. If you opt in to our newsletter, we send periodic updates the same way; you can unsubscribe from non-essential emails like the newsletter at any time via the link in every email or from your account settings.
We do not sell your personal information. We share data only with the specific service providers described in this policy (payment processing via Razorpay, email delivery via our SMTP provider, and — only for the specific tool that discloses it — third-party AI processing infrastructure), and only to the extent necessary for those services to function. We may also disclose information if legally required to do so.
We take reasonable technical and organizational measures to protect the information we hold, including encrypted password storage, secure server infrastructure, and automatic deletion of uploaded files after processing. That said, no online service can guarantee absolute security against every possible threat, and we encourage you to use a strong, unique password for your Tool Sphere account and to enable any additional security options we offer.
You can review, update, or delete most of your account information directly from your profile settings at any time. If you've saved any tool outputs to your account, you can view, download, or permanently delete them anytime from the My Files page. You may also contact us to request a copy of the account data we hold about you, or to request full account deletion — which also deletes any files you've saved. Because uploaded files are deleted automatically after processing completes by default, there's no separate "file deletion" request needed for ordinary tool usage.
Tool Sphere is not directed at children under 13, and we do not knowingly collect personal information from children under that age. If you believe a child has provided us with personal information, please contact us and we will take steps to delete it.
We may update this Privacy Policy as our tools, features, and legal obligations evolve. Material changes will be reflected in the "Last updated" date at the top of this page, and significant changes may also be communicated by email or an on-site notice.
